
User management and invitations
It is time to invite more users to AnyIdea. In this video, you can see how to do this in just a few steps and very easily.

Log in to AnyIdea and verify that you are an administrator or manager. You can see your role in the top right corner, under the name of your account.
User Administration
About Users in the main menu You get to the general user administration.
- Under the Scouts tab, you can manage idea providers.
- Under the Register Manager, you can manage both managers and administrators.
Administrators, Managers, and Scouts
To invite colleagues:
- In the main menu, go to Users
- click Add user
- Give First name, last name and emaill one
- choose the one you want roller (administrators, managers, users)
You can invite as many admins, managers or users as you like, there are no limit.
In the column statuses See who accepted your invitation, signed up, and who hasn't.
Add interested parties and managers from different areas and departments. For example from the areas of research and development, product management, innovation management, HR, marketing, customer service or success teams. In this way, you ensure that something is moving and that you get your company's ability to innovate. In line with the Open Innovation approach, we recommend also including external perspectives, for example from customers, suppliers, partners or universities.
Administrators
administrators can manage managers, scouts (idea providers) and also other administrators. For example, adjust permissions, delete and add users. Admins have access to the entire platform, all modules, content and functions and can make company-wide settings such as gamification, innovation classes, etc. There must be at least one and any number of administrators per account.
Manager
Managers can manage existing scouts and add new ones. Like admins, they have access to the entire platform, all modules and functions. You can start campaigns, but you won't see them all, just the campaigns you've created yourself and the ones you've been invited to. The authorizations for the Ideation and Realization modules are then controlled via the campaigns.
User
Users only have access to campaigns they've been invited to. Depending on the campaign, the user can be assigned a specific role. Depending on their eligibility, they can either manage campaigns, evaluate ideas, or submit ideas.
By default, AnyIdea automatically sends invitation emails to newly added users. Entered data is automatically transferred. Users simply have to choose a password and can get started right away. If you want to send a personal email to users yourself, deactivate the “Send invitation” checkbox. Note that in this case, no data can be transferred and pre-filled when your users log on.
csv upload, single sign on and AD connection
If you want to add many contacts, it is easier to add a list of contacts in the form of a .csv file upload. You will find information about this and a sample file to download.
In addition, it is possible to create all employees in AnyIdea completely automatically and keep them constantly up-to-date. With an AD connection, a so-called Active Directory connection. In this case, users can also use a Single Sign On use. This means that they are also logged into AnyIdea with the same login details from your PC or laptop. Even in the case of an AD connection, you can add additional users at any time, e.g. external contacts from suppliers, customers or universities.
Internal communication
Before you invite many users, it is recommended to send out information internally about your project and the use of AnyIdea, e.g. personal email, intranet, newsletter, etc. This helps that all potentially participating users are properly informed and sensitized when you receive invitations and notifications from AnyIdea. With this, you create trust and increase the acceptance with your colleagues!
Whitelisting AnyIdea
Inform your IT department, help or service desk about the use of AnyIdea.
- If you invite several hundreds of users and AnyIdea sends invitation and information emails, they should not be blocked by internal IT!
To ensure that emails are not blocked or end up in the spam folder and appear as a trustworthy source among your colleagues, the domain anyidea.ai should be activated by internal IT for security purposes, a so-called Whitelisting (Approval in central spam filters regarding firewalls). This ensures that all users receive the emails.
- If users have questions about AnyIdea, emails, links, etc., it is not unlikely that they will contact internal help or Service Desk If one is available, turn around. So that they know accordingly, it is recommended that they inform them about the use of AnyIdea.
Search, filter, and sort
Search, sorting options and filters are available for easy user management. Start now and invite more contacts to AnyIdea.
Tips and tricks
- If users experience display problems in AnyIdea, this is most likely due to the activated browser setting “Automatic Translation” or “Browser Translation”. This feature should be deactivated accordingly for proper functionality.
- If a user clicks on links in emails from AnyIdea and receives the message “Link invalid”, this is most likely due to the fact that the links are automatically shortened by your email program. Should this be the case, please let us know at support@anyidea.ai. We coordinate accordingly with your IT department.
Email invitation not received?
In that case, you have 3 options:
- Check SPAM folder
- Resend an invitation to people. To do this, first select the people you would like to invite again and choose the action Resend the invitation.
- If none of these options work, contact our support support@anyidea.ai
